Registration is confirmed only when payment is received. You may make arrangements for payment by contacting the office.The minimum class size is five people and the maximum is twelve. Courses may be cancelled if minimum registration has not been reached by four days before the scheduled start.

Cancellation/Withdrawal Policy

AWCS reserves the right to cancel any course or workshop that does not reach minimum registration within 4 days of class commencement.

In the event of an AWCS imposed cancellation, the registrant will receive a full refund or credit to be used at a later date or may choose to transfer to another class if space permits.

Any registrant can withdraw from a course up to one week prior to start date, unless otherwise stated, and receive a refund minus a $30 admin fee or a full credit to be used for a future course. No refunds will be issued after this date.

If for some reason you need to withdraw from a weekly class and let us know prior to the start of the second class, AWCS will offer a 50% credit to be used towards a future class. Sorry, no refunds.

Code of Conduct

As a member, student, guest or representative of AWCS, we expect everyone to maintain an attitude of mutual respect toward other participants, guests and instructors in classes, programs and events.

Our members come from a variety of backgrounds and possess different skill levels of writing and varying personalities. That’s what makes our community unique and special. We want you to feel safe to express your feelings and share your thoughts without danger of repercussion and we want others to feel the same way.

We will not tolerate offensive language, harassment, bullying, excessive alcohol use at events, or disrespect of the AWCS space, staff or volunteers. Please contact us immediately if you feel uncomfortable in any situation.

We will not tolerate plagiarism on any level. Before submitting a case on plagiarism, please make sure you are familiar with Canadian Copyright laws. http://www.accesscopyright.ca/about-us/copyright-basics/

Anyone found to be in violation of our Code of Conduct, will be removed from a class or event and membership may be suspended.

Privacy Policy

The Alexandra Writers’ Centre Society (AWCS) is committed to protecting the personal information given to us by our members, donors, and program participants. Most of our activities are non-commercial and not subject to the Freedom of Information and Protection of Privacy Act (FOIP) or the Personal Information Protection Act (PIPA). This privacy policy outlines the practices we follow in protecting personal information.

Personal Information Collection and Use

Personal information means information about an identifiable individual. This includes (but is not limited to) an individual’s name, home address, phone number, email address, health information, contact information for emergency contacts, etc.

We collect only the personal information that we need for the purposes of providing programs and services to our members, donors, and program participants, including personal information needed to:

  • Deliver requested programs and services.
  • Enroll a participant in a program.
  • Send out AWCS membership, donor, and program participant correspondence, including newsletters, receipts, marketing or promotional materials, and information about programs and services.

We collect personal information directly from members, donors, and program participants. The Alexandra Writers Centre Society does not disclose personal information to any third parties with the following exceptions:

  • For payment transactions, information necessary to process the payment is disclosed to relevant financial and credit institutions.
  • Contact information is disclosed to third-party mailing services to facilitate large email and postal mailings of AWCS materials. (ie. MailChimp)
  • Technical support workers may have access to our database when helping to solve a technical problem.

The AWCS does not sell, barter, or rent personal information of members, donors, program participants, or any other individuals who provide personal information. No personal information is publicly viewable without the individual’s consent.

All contact information for members, donors, and program participants is stored in a password protected accounting database and can only be accessed by staff or authorized technical support when needed. The database does not store credit card numbers.

Credit card information provided through our online payment system is transmitted through our credit card processor (MONERIS) via a secure encrypted connection. AWCS staff and technical support do not have access to full credit card numbers processed online. Credit card information may be collected offline with paper forms or by phone by the AWCS staff.  Credit card numbers collected offline are blacked out after processing and hard copies of forms used to collect credit card payments are shredded.

Contact information for members, donors, and program participants is retained in our electronic database for historical and statistical purposes.

The Alexandra Writers’ Centre Society is subject to the Canadian Anti-Spam Legislation for sending commercial electronic messages, and is subject to the exemption for registered charities in which an email is sent for the primary purposes of raising funds for the charity. In compliance with the Canadian Anti-Spam Legislation, the AWCS will not contact former members, donors, or past program participants two years after their last participation in the AWCS, with the exception of contact for charitable fundraising purposes. A former member, donor, or past program participant who does not wish to be contacted for charitable fundraising purposes will be removed from all mailing lists immediately upon request.
